The Best Accounting Software for Trade Businesses
Keeping on Top of Your Accounts in 2025
Most tradies didn’t get into business to crunch numbers, chase receipts or figure out BAS deadlines. But if you want to stay profitable, pay yourself properly, and grow a solid business, then keeping your accounts in order isn’t optional. The good news? In 2025, it’s never been easier to stay on top of your books.
Gone are the days of paper folders and shoeboxes of receipts. Accounting software has come a long way, it’s fast, easy to use, and built for business owners, not just accountants. If you’re still trying to manage everything manually, it’s time to upgrade.
Three of the most common tools I see used across the trade industry are Xero, MYOB, and Reckon. Each has its place, but if you’re after my opinion (which you probably are if you are reading this), I’ll tell you straight: Xero is my go-to. I’ll explain why in a minute, but first, here’s a quick breakdown of the options. There are many more options that are out there, so finding the one that you, your bookkeeper (if you have one) and your accountant all use and like is a good start. So if you are still unsure of which direction to go, speak to them and they will be able to guide you.
1. Xero Overview:

Xero is a cloud-based accounting platform designed to simplify financial management for small businesses. It offers features like invoicing, bank reconciliation, payroll, and real-time reporting, all accessible from any device. Xero has a user-friendly interface, making it a popular choice among tradies and builders. It has been around for almost 20 years now, and they have spent a lot on research and development (R&D) in the cloud-based accounting platform, which has definitely disrupted the way things used to be done. This has ultimately benefited the small business owner.
Pros:
User-friendly interface that is easy to navigate.
Cloud-based access from any device, anywhere.
Seamless integration with job management tools like Tradify and ServiceM8.
Automated bank feeds for quick reconciliation.
Strong support network with many accountants and bookkeepers familiar with Xero.
Cons:
Slightly higher cost compared to some competitors, especially with added payroll and
advanced project tracking features.
Initial setup can be complex without professional assistance.
2. MYOB Overview:

MYOB (Mind Your Own Business) is an Australian-based accounting software that caters to small and medium-sized businesses. It offers both cloud-based (These days) and desktop solutions, providing flexibility for businesses with varying needs. MYOB includes features like invoicing, payroll, inventory management, and tax compliance tools. MYOB is a robust system, and before cloud-based accounting, it was one of the top providers of a desktop solution. However, when Xero was starting their transition was slow and they were putting R&D towards two products to maintain current customers, whilst also jumping onboard with new customers who needed a cloud-based solution.
Pros:
Established reputation with a long history in the Australian market.
Comprehensive features suitable for complex business needs.
Offers both cloud and desktop versions for flexibility.
Strong compliance tools aligned with Australian tax regulations.
Cons:
User interface can be less intuitive compared to newer platforms.
Limited integration with modern trade tools.
Updates and new feature rollouts can be slower.
3. Reckon Overview
Reckon is an Australian accounting software provider offering solutions for small businesses, including cloud-based and desktop options. Reckon One, their cloud-based product, is designed for affordability and simplicity, covering essentials like invoicing, expenses, and payroll. Reckon has always been known for having some of the best and extensive range of reports. This is always great for owners and accountants who can understand data and what this means for running a trade business.
Pros:
Cost-effective pricing, suitable for startups and small businesses.
Extensive reporting features suitable for data analysis.
Simple interface for basic accounting tasks.
Offers both cloud and desktop solutions.
Cons:
Limited advanced features compared to competitors.
Fewer integrations with third-party applications.
May not scale well for growing businesses with complex needs.
My Recommendation: Xero – Every Time
I’ve coached plenty of tradies and builders across NSW. Many of them started with
spreadsheets or cheap software, and every time we switch them to Xero, things just click.
Suddenly, cash flow becomes clear. BAS isn’t a mad panic. You know who owes you money,
what your margins are, and whether you can afford to hire that new apprentice or tradie.
The biggest difference? It saves time, and let’s be real, time is the one thing you never
have enough of. When set up right, Xero automates 80% of what used to take you hours.
You can also outsource the setup and maintenance of Xero to most bookkeepers, due to the simplicity of a cloud-based accounting solution.
You can invoice from your phone while you’re still on-site. You can reconcile your accounts while you wait for the kettle to boil. You can even run payroll with a few taps of your
keyboard.

Final Thought
If you’re still not using accounting software, or if you’re using one that feels like a chore. Now’s the time to make the chan
ge. Xero is an investment that pays you back in time saved, stress avoided, and better decisions made. And if you’re not confident setting it up?
